Executive Assistant to President/CEO

The Executive Assistant is a professional representative who partners directly with the Executive and is responsible for playing a critical role in ensuring the success of the Executive, Leadership Team and Organization. He/she is instrumental in ensuring the Executive executes upon his/her top initiatives, responsibilities, and objectives. The Executive Assistant should be skilled in effective communication, energy, encouragement, and hospitality. It is key that the Executive Assistant is passionate about Growth & Excellence!

Essential Functions

  • Effectively manage the Executive’s time, keeping the Executive focused on top initiatives.
  • Manage action items and deadlines for the Executive, Leadership Team and Organization ensuring they are driven to successful completion and encouraging accountability from the Executive when action items and deadlines are not achieved.
  • Support the Executive in planning and preparing for successful meetings for Leadership, Executive Team, and the Organization.
  • Ensure vision, goals, celebrations, and all necessary messages are cascaded throughout the organization, with a willingness to act on behalf of the President/CEO as directed to do so.
  • Conserve the Executives time by being pro-active and prepared and managing information flow in timely and accurate manner.
  • Serve as the relationship liaison for Diamond Clients or Partners.
  • Ensure strict confidentiality of all sensitive information.
  • Other necessary functions:
    • Responsible for managing meetings, tasks, activities, projects, applicable events, preparation of documents, and proposals.
    • Schedule and organize activities such as meetings, travel, conferences, and department activities.
    • Manage and prepare daily activities for the Executive such as calendar, emails, calls, action items, etc.
    • Attend meetings and capture notes, action items and due dates as deemed appropriate by the Executive.
    • Organize, prioritize, and document information and correspondence internally and externally with clients and partners through email, calls, meeting confirmation, calendar requests, etc.
    • Gather and organize information to proactively prepare the leader for all meetings and interactions.
    • Produce general correspondences, presentations, etc.; proofread copy for spelling, grammar, and layout, making appropriate changes when necessary; and is responsible for accuracy and clarity of copy.
    • Handle issues as they arise and prioritize.
    • Document correspondence with carriers, clients, and prospects, and partners by performing data entry in the agency’s insurance management software or another effective and approved software, utilizing the system to provide follow-ups.

Education & Experience

The following are the minimum requirements for the position, which may be satisfied by an equivalent combination of education and experience.

  • Bachelor’s degree preferred, or
  • At least 3 years of demonstrated successful experience as an administrative professional is preferred.

Knowledge, Skills & Abilities

The following are the minimum requirements for performing the essential functions of the position.

  • Strong administrative and organizational skills with the ability to successfully prioritize multiple projects and meet tight deadlines.
  • Professional level verbal and written communication skills.
  • Strong business acumen.
  • Excellent grammar and proofreading skills, with strong attention to detail.
  • Proficiency in computer and overall technical capacity.
  • Proficiency in Microsoft Office Suite, including Word, Outlook, PowerPoint and Excel.
  • Effective time manager and organizer.
  • The ability to work independently or in a team environment.
  • Self-starter/independent/takes initiative.
  • Ability to occasionally work outside regular business hours, including evenings and weekends.
  • Possession of a valid driver’s license and proof of insurance and liability coverage included in his/her personal auto insurance policy.
  • Must be able to perform the duties of their position in the event they are required to operate a company vehicle and driving record must meet the requirements of the company auto insurance policy.

  • This position operates in a fast-paced, business-casual office environment with a moderate noise level. The employee is exposed to outdoor weather conditions throughout the year only during work-related travel.

  • This position is required to travel, occasionally within the local area during regular business hours, with frequent travel of greater distance and the potential of overnight stays.
